Requesting Items: Using ILLiad

Interlibrary Loan and the ILLiad system are part of the Public Services Department.

Interlibrary Loan is a service provided to obtain materials which are needed for use by our students, faculty and staff, but are not available through the Gallucci-Cirio Library's collections. This is a library-to-library service; all requests for borrowing and renewing items from other libraries through the Interlibrary Loan Service must go through the Gallucci-Cirio Library's Interlibrary Loan staff. Our policies and procedures are based on the National Interlibrary Loan Code for the United States. Through the ILLiad system you can access your Interlibrary Loan account to request items from other libraries, track your requests, receive electronic delivery of documents such as journal articles, immediate notification when your items are available for you to pick up and more. Use of the Interlibrary Loan services is restricted to current Fitchburg State students, faculty and staff.

Logon to ILLiad

Using ILLiad

  1. Click on the logon link above or on the Library web site to connect to the ILLiad system.
  2. If you already have an account, enter your Username and Password. Otherwise, click on the "First Time User? Create Your Account" link and fill out the New User Registration form.
    • We recommend that you use your Falcon Key as your username and password and your Fitchburg State email.
    • Direct delivery of physical items to your home is only available for students who are currently enrolled in Distance Learning or Extended Campus courses. Under "Preferred Loan Delivery Method (physical items)" select the "Mail to Address" to have items delivered to you instead of picking it up at the Circulation Desk.
    • Under the section for "Location of your current courses (Staff choose Main Campus)" choose the Main/McKay Campus unless you are enrolled in a Distance Learning course or at an Extended Campus location.
  3. Your ILLiad account's Main Menu page will display. From here you can use the left-hand menu to go to:
    • New Request - Select the Article, Book or A/V, or Book Chapter request form; fill it out to request an item. When you hit the Submit Request button the system will automatically fill in all of your information which you entered through the New User Registration form.
    • View - Track your outstanding requests, access electronically received articles, et cetera.
    • Tools - Here you can update your account information at any time and change your password.

ILLiad Request forms will pull citation information directly from the Library's databases and automatically populate the form for you!

When you are in one of the Library's databases with items in your results list which aren't full text, simply click on the "Get Article" link, "Find a Copy" link, et cetera that you see. This will take you into our Journal Locator service which will quickly tell you whether that item is available through one of the other databases or in our library. If it states we don't have the item, scroll down and click on the "Request Books and Articles from Another Library" link. This connects you directly to the ILLiad logon page. Logon to ILLiad and the system automatically opens the request form and pulls all of the item's citation information into the form for you. All you need to do is make sure everything filled in, you can add in a note if you want, then click on the Submit Request button to send your request to the Interlibrary Loan staff who will borrow that item from another library for you.

What can I borrow and how does it work?

Currently enrolled Fitchburg State students with a valid One Card are allowed to borrow materials from other libraries through our Interlibrary Loan service at no charge as follows:

Types of Materials

A wide range of material formats such as books, audio CDs, fiche, periodicals, copies of articles, etc. may be requested. If you request an item that is only available in an electronic format, please be aware that our ability to get a copy of the item is contingent upon the license agreement the owning library has with its database provider.

  • Physical materials may be picked up at the Circulation Desk. Distance Learning and Extended Campus students may have the material mailed to their homes via U.S. mail. Electronic copies will be delivered to your ILLiad account.
  • Materials should be returned to the Gallucci-Cirio Circulation Desk or mailed to our ILL Office.

Cost

If the lending library charges a fee, the Gallucci-Cirio Library pays it. There is no fee for Fitchburg State students.

Length of Loan

Electronic copies do not need to be returned unless the lending library indicates otherwise.

Length of loans for all other materials are subject to the lending library. Patrons are asked to return materials by the specified date on the Interlibrary Loan slip attached to the item.

Renewals may be requested once and they are dependent upon the lending library's policy and not Fitchburg State. If you wish to renew your Interlibrary Loan item, please contact us prior to the date it is due. You may request a renewal by calling or emailing us; please be sure to include your name and student Banner number and the title of the item you wish to renew.

Processing Time

Depending upon the nature of the request, it normally takes 0-3 days for electronic materials and 7-10 days for physical materials from the submission of your request until the item is received.

Note: The staff will contact 5 libraries whenever possible to try to borrow the item; if the request has to go to the 4th or 5th library in the queue it may take longer.

Number of Requests

There is no limit to the number of requests that you submit, however, requests in excess of 5 will be filled as time permits. Please use the comments field to indicate whether an item is higher or lower priority than another, otherwise we will process the requests on a first received, first processed basis.

Guidelines

  1. Verify that the Gallucci-Cirio Library does not own the materials you are requesting by checking our Library Catalog and Journal Locator. If we own the item, you must come into the library and check the item out through the Circulation Desk.

    Note: The only exceptions to this policy are students enrolled through a Distance Learning or Extended Campus program/course or faculty teaching Distance Learning or Extended Campus courses. Use the ILLiad system to place your requests. Please refer to Distance Learning and Extended Campus for more information about how to request items from our collections.
  2. Patrons are asked to complete the form by filling in as much item information as possible.
  3. Return the material on time. If you need it longer, please contact us to request a renewal before the item is due. If items are not returned in a timely manner the libraries that lent them to us may refuse to lend to us in the future.
  4. By borrowing an item through Interlibrary Loan, you accept the responsibility for paying any late fines if you return the item late, lost fees if you fail to return the item, or any damaged fees if the item is not returned to us in the same condition as it was when you received it as assessed by the lending library.
  5. We reserve the right to deny/revoke this auxiliary privilege to any Fitchburg State student whose library account is or becomes delinquent with us and/or fails to follow these policies. In addition students will have a hold placed on their library and student Banner accounts for overdue, lost or damaged items.
